Unassigned Stage

When new documents are added, they are held within the Unassigned Stage.
Before a document or document pack can undergo a review, the Review Time, Document Author(s), and Review Coordinator(s) & Reviewer(s) are required to be assigned.

From a document controller point of view, it is recommended that these fields are assigned in the following order. Beyond the Unassigned Stage, these fields can be updated by the assigned Review Coordinator(s).

  1. Review Time (go to article)
    This is the desired time for which the review is to be completed within. Review times can be updated during the Unassigned and Under Review, review stages.

  2. Document Authors (go to article)
    Document Authors will be those responsible for responding to any comments made by Reviewers. Whilst not mandatory to assign a document author prior to issuing the document for review, the document will not progress beyond the 'Under Review' stage without it. Therefore it is advised to assign an author to prevent any delay in the overall review process.

  3. Review Coordinator(s) and Reviewer(s) (go to article)

    Assigning the Review Coordinator/Reviewers kicks off the review workflow and moves the document into Under Review

    1. Reviewers -
      1. During the 'Under Review' stage, a Reviewer is responsible for reviewing the document and marking their review as complete.
      2. During the 'Follow up Review' stage a Reviewer is responsible for;
        1. Reviewing responses to their comments,
        2. Where required, engaging with responding Author using thread commenting,
        3. Closing their comments, if the responses are satisfactory,
    2. Review Coordinator(s) -
      1. During the 'Under Review' stage, a Review Coordinator is responsible for;
        1. Reviewing the document and marking their review complete,
        2. Ensuring Reviewers undertake their reviews within the allotted review time,
        3. Assigning additional reviewers if required,
        4. Extending (or reducing), the allotted review time if required,
        5. Assigning the document review Status upon the completion of the document review,
        6. Moving the document into the 'Awaiting Response' review stage (during which authors will respond to review comments)
      2. During the 'Follow up Review' stage a Review Coordinator is responsible for;
        1. Reviewing author responses to their comments,
        2. Where required, engaging with responding Author using thread commenting,
        3. Closing their comments, if the responses are satisfactory,
        4. Ensuring all comments are closed out,
        5. Updating the document review status if required following author responses,
        6. Moving the document into the 'Completed' review stage
        7. Generating the Document Review Comment Sheet, if this is a feature used upon your project.
